New research: The 2026 AI Visibility Report

AI agent · order desk · human approval

An AI agent that turns emailed orders into entered orders.

Purchase orders arrive by email as PDFs, forwarded threads or plain text. The agent reads them, books them in your system, and a person approves before anything is confirmed.

If your order desk retypes emailed purchase orders into a spreadsheet or an ERP by hand, this is the agent we build first. It reads the email and the attachment, matches items and prices to your catalogue, drafts the order, flags anything it isn’t sure about, and waits for a yes. In the pilot we ran for an Upstate building-materials distributor, an emailed purchase order was read and booked in under one minute, order status came back in seconds, and a dispatch work order printed in one click.

How the order-desk agent works.

Five steps, one approval

  1. It watches the inbox

The agent reads orders@ (and freight@, quotes@, whatever you use). Nothing changes for your customers; they keep emailing the way they do today.

  2. It reads the order

PDF purchase orders, forwarded threads, or three lines of plain text. It pulls out the customer, items, quantities, ship-to, requested date and PO number.

  3. It checks your data

Items and prices are matched to your catalogue and contract pricing. A price that doesn’t match the contract is flagged at entry, not discovered at invoicing.

  4. It drafts, and a person approves

The order sits in an intake queue with any uncertain field highlighted. Your coordinator reviews, corrects, approves. Nothing is confirmed without a human.

  5. It does the follow-through

Confirmation email drafted from the approved order, status searchable in seconds, printable work order for the load in one click.

Questions people ask before they build one.

Straight answers

Who is this for?

Distributors, wholesalers, manufacturers’ reps and any business where orders arrive by email and someone keys them in. Typically 5 to 50 people, one to three order coordinators, and a spreadsheet or an ERP that is the working record.

Can it make mistakes?

Yes, which is why it never confirms an order on its own. Fields it isn’t confident about are flagged, and a person approves every order. In practice the coordinator’s job shifts from typing to checking.

Does it replace our spreadsheet or ERP?

No. It writes into whatever you already run. If the spreadsheet is the source of truth today, it stays the source of truth; the agent just stops a person having to retype into it.

How long does it take to go live?

A pilot on your real inbox is live within weeks: we connect the mailbox, load your catalogue and pricing, and your coordinator starts approving. We tune it on the orders it gets wrong.

What does it cost?

Pilots are fixed-price and quoted up front after a free call: one workflow, your real email, a person approving. Use the cost-saving calculator to put a number on the hours it would take back.

What else can the same agent do?

Once it reads your orders it can answer “where’s my load?” emails from the order book, capture mill or supplier offers into a price book, and feed a live margin and position dashboard. Those are the next pages of the same platform, not new projects.

Still retyping orders? Let’s stop that.

One workflow, your real inbox, a person approving every order. Fixed price, live in weeks.
